The signed PDF
Once the customer signs off, Changed makes a PDF with their signature and a sign-off certificate, emails it to them, and keeps it on the change order.
What is in it
- Your company, the job and the change order number.
- What was already agreed, with the total Before this change.
- This change, line by line, with This change and New job total, and the deposit when there is one.
- The schedule when you stated one, and the line that ties it to the job. See Terms and schedule.
- Who signed off, when (in the job's time zone, such as Eastern time), from which internet address, and their signature, kept together on the first page with the money.
- Your terms, then the link to the video when your tech filmed one. A PDF cannot play it, so the link is printed out in full.
- The photos.
- A record code at the foot that matches exactly what the customer saw, and "Check this document at itschanged.app/verify/" with a short code.
The sign-off certificate
The last page is the record of the sign-off, the way DocuSign and PandaDoc keep one:
- The change order: number, job, company, the amount before, the change and the new total.
- The record code.
- For each person who signs off: the name they typed, their signature, how the link went to them and to which email or phone, when it was sent, when they first opened it, when they agreed to sign electronically (and which version of the words), when they signed off (in the job's time zone, and UTC to the second), their internet address and their device.
- The words they agreed to.
- A short list of what happened, in order.
Anything that was not recorded says "not recorded". Changed never fills a gap with a guess.
Checking a copy
Anyone with the PDF can open the check page printed on it. It starts with who signed off and on what day, then Check your copy: they pick the PDF they have and the page says Matches or Doesn't match. Under that are the change order, the amount and the signers (their email and phone partly hidden), and Details for experts holds the record code and the PDF's fingerprint. The file is checked on their own device and never uploaded. A PDF that was edited, or printed to PDF again, does not match.
Where it goes
- The customer gets it by email, attached, once they sign off, when they have an email. They can also download it from their page.
- On the change order, tap Signed PDF to open it, or Check page to see what the customer can check.
- Lost the email? Tap Send the signed PDF again on the change order. The same email and PDF go again to whoever signed off, when they have an email. With no email on file, or before email is set up, it says so; tap Copy the link to the PDF and send the link yourself.
- On a Jobber job, the pinned note on the job links to it. See What goes back to Jobber.
- If the change order came from a vendor's email, the vendor's reply links to it.
If file storage is not set up yet, the PDF is made fresh each time you open it instead of being kept, and the change order says so. It comes out the same each time, so the check still matches.
